Job Profile Summary

The Personal Assistant role is a key role within the SVP’s executive office helping to organise and shape activities across Talent. This is a split role, with a 60% focus on SVP PA activities, with the remaining 40% dedicated to supporting 1-2 other members of the Talent leadership team plus occasional project-specific administrative support

To provide high levels of support to the SVP and members of the Talent LT in terms of self-led value adding activity and routine administration. This role is to enable the senior leaders to focus on strategic activity by creating time and capacity for them and to efficiently manage and coordinate their delivery.

About the role:

60% of your time will be supporting SVP Talent, managing the SVP’s schedule 40% of your time will be providing additional support to 1-2 members of the Talent Leadership Team plus project-specific admin requests.

The role will involve proactively anticipating requirements, handling diary clashes. You will be required to ensure that practical arrangements such as external agendas, all requirements for meeting attendees and pre-reads are in place on time including booking hot desks, meeting rooms and facilities as the need arises.

There will be event management including Townhall Webcast arrangements, off-site meetings and events. You will need to coordinate travel & logistics, including liaison with the Company Travel Provider to ensure requirements for SVP business travel are complete and run efficiently. Organize hotel accommodation, transportation and any other travel needs. Minor support required on budget administration (coding of invoices, taking care of suppliers). Handle expenses claims compliant with internal processes.

There is a need to handle administrative matters in the strictest confidence and maintain all relevant records and files. You will prepare various documents, correspondence, reports, agreements, presentations, and spreadsheets and track critical deadlines and initiate follow-up actions in a timely manner.
Provide a link between a number of BP offices and leaders, maintaining a good working relationship with key contacts both externally to BP and other parts of the Group.

Take change of onboarding new members of staff, use initiative to resolve office operating problems and regularly partner with other administrative assistants, providing holiday and sickness cover and sharing best practices.

  • Proficiency in English, strong verbal and written communication skills

  • Demonstrated ability to quickly learn and develop on the job to fill any skills gaps
